You also need to talk to Adam (Vengeance). He ran the Toronto Gameroom show (at least the tourney portion) so his advice would be extremely valuable. Plus, he had some great tourney software that showed the current rankings on a projector.
The software was quite machine specific as I remember ... meaning you would have to have access to an IBM A/S something or other ... there was a previous post by Adam looking to pick up one.

I have a meeting with the gallery director of sales this week and I'll set the date and measure the area. It will be smaller than the T.O. show, but I'm not planning on the auction or starburst or anything. This is the first show of it's kind in ottawa and should be done small scale. I don't want to end up in the hole a few grand and kill it in it's first year. I think keeping the vendors local (Canada pinball parts,workingpins,howison?) will suffice.
If people can Pm me the machines they would offer, I can start a list and determine the layout and the tourney machines. And yes, I will absolutly ask vengence some pointers on running a smooth, fair competition.

Agreed. This is an important consideration. Have you chatted with these folks to get a feeler if they are interested? If not, it would be a good idea to start discussion with them and have an idea of advertising costs.

I was merely listing local vendors that have the oportunity to participate if they so choose, I sent geoff an email today and will be in touch with Jean-Marc soon. This Thread is indeed an interest check, and my course of action will be determined from the response I get here, and from the venue coordinator.
From where I stand, I see this as a weekend of fun, and if I break even, I'll do it anually. If I don't have support from the local vendors, fine. More room to play. That's what this is about PLAYING PINBALL in a social setting and having a laugh.

I met with the gentleman who books for the gallery yesterday, and apparently the curator of the place is a pin head and wants to do whatever he can to make this show happen. I'm not sure just yet what extent he wants to be involved, but he was getting at either sponsering the venue/advertising/prizes etc. So as long as there's enough machines, it's a go!
I'll bring in my 3 pins, a few of you had already offered a few, however, I'd like it if medvet didn't have to bring in the 5-10 she said she could. That's just too much for one person to deal with. Also, I have a discount at enterprise rentals, so I'm thinking of renting a big ol' cube van the day before to round up whoever would like to bring something and needs help.
So it looks good as of now, but I need help. This will only succeed as a community event thanks.

Getting transportation and moving help arranged for something like this is a good idea. It's much easier to move games out of someone's house if you have more than two people to do it, and getting a truck (or even just a few people with vans) makes things easier to set up and tear down afterwards. I think that if the Toronto show runs again, planning a couple of truck routes out to get games picked up ahead of time (and moved back afterwards) would be a real help.
